Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. Responsibilities

  • Manage and maintain accurate financial records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
  • Handle front desk duties by greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Provide exceptional customer support through clear communication, problem-solving, and timely responses to inquiries
  • Perform clerical tasks such as data entry, filing, proofreading documents, and managing correspondence to keep the office organized and efficient
  • Assist with calendar management and scheduling appointments or meetings using Google Workspace or Microsoft Office tools
  • Support office management activities including supply ordering, maintaining office equipment, and ensuring a welcoming environment
  • Conduct general administrative duties such as copying, scanning, and maintaining organized digital and physical files

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tasks
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Strong typing skills coupled with attention to detail for proofreading and data accuracy
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication
  • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Demonstrated customer service excellence with professional phone etiquette and support skills
  • Knowledge of bookkeeping practices including invoicing, expense tracking, and financial record keeping
  • Ability to manage multiple responsibilities efficiently while maintaining a positive attitude
