Key Responsibilities

  • Support the lead planner in the end-to-end coordination of corporate and social events.
  • Manage vendor communications, including sourcing quotes, reviewing contracts, and confirming delivery timelines.
  • Develop and maintain detailed event "run-of-show" documents and production schedules.
  • Coordinate guest lists, RSVPs, and seating arrangements using digital management tools.
  • Assist in site visits and venue walkthroughs to ensure layouts meet safety and aesthetic standards.
  • Oversee on-site event setup and registration, acting as a primary point of contact for staff and vendors.
  • Prepare post-event summaries and budget reconciliations to ensure project success and financial accuracy.

  • Logistics & Organization: Proven ability to manage multiple event timelines and vendor lists simultaneously without losing track of the details.
  • Communication: Exceptional verbal and written skills for professional interaction with high-net-worth clients and diverse vendors.
  • Problem-Solving: The ability to stay calm and resourceful when unexpected challenges arise during live events.
  • Tech Savviness: Proficiency in event platforms (such as HoneyBook, Cvent, or Aisle Planner) and the Microsoft Office Suite.
  • Negotiation Skills: Experience in negotiating vendor contracts to ensure the best value for our clients.
  • Experience: 1–3 years of experience in event coordination, hospitality, or administrative project management.
  • Education: Bachelor’s degree in Hospitality Management, Marketing, Public Relations, or a related field.
