Responsibilities:
Meeting Support
  • Attend assigned meetings and capture clear, concise notes.
  • Distribute meeting minutes to attendees in a timely manner.
  • Assist with uploading and organizing meeting documentation in SharePoint.
  • Support meeting setup, including agendas, templates, and materials.
Calendar & Scheduling Assistance
  • Coordinate and schedule recurring and ad hoc meetings for leadership.
  • Send meeting invitations and track updates or changes.
  • Maintain organized calendar entries and assist with scheduling conflicts.
Presentation & Reporting Support
  • Assist in updating weekly slide decks using provided templates.
  • Compile basic data (e.g., events, data calls) into presentation formats.
  • Maintain organized archives of presentations and documents.
Administrative Coordination
  • Track and send reminders for weekly briefing schedules and deliverables.
  • Assist in maintaining trackers and spreadsheets for team activities.
  • Support shared mailbox monitoring and route requests as needed.
Timekeeping Support
  • Assist in reviewing and validating timesheets for completeness and accuracy.
  • Support payroll cycle activities under guidance.
Other
  • Develop and sustain a level of professionalism among staff and clientele.
  • Manage, organize and file read-ahead and other artifacts following directions and guidance provided by the senior manager.
  • Respond promptly to senior management queries.
Qualifications:
  • Minimum 5 years’ experience required.
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal skills.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Ability to perform research and analysis.
  • Ability to work independently.
  • Strong analytical skills with keen attention to detail.
Education
  • Minimum Bachelor’s Degree in a business discipline.
  • Additional 8 years’ relevant experience may be substituted for Bachelor’s degree.
Clearance
  • Current VA Clearance (preferred).
  • Ability to obtain a Moderate Background Investigation (MBI) clearance.
Location
  • Remote, USA.
Pay Range
  • The suggested pay for this position ranges from $38,145 to $54,625.
  • The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, and location.
  • Also, certain positions are eligible for additional forms of compensation, such as bonuses.
