Key Position Details: 1.0 FTE (80 hours per two-week pay period) 8-hour day shift No weekends Position will be a hybrid, with an expectation of 2 days in the office Office location will be Mercy Hospital, Unity Campus Job Description: Provides support to regional strategic partners and project managers during project completion. Coordinates purchase order initiation and maintenance; drafts contracts and other project documentation; and reviews and organizes invoices. Provides additional project support including documentation support, compiling reports, schedules meetings/activities and communicates to key stakeholders.

Responsibilities

  • Provides project management support.
  • Assists to draft applicable Requests for Proposal, contracts and other applicable documents and submit for approval.
  • Provides reports (e.g., Financials, Risk Management, etc.).
  • Schedules meetings.
  • Provides documentation support.
  • Crafts and distributes communications to key stakeholders and partners.
  • Assists with closeout activities.
  • Issues purchase orders(PO).
  • Processes PO requests.
  • Initiates Purchasing Agent Authorizations as needed.
  • Corresponds with vendors and contractors.
  • Documents activities in project management software.
  • Processes Invoices.
  • Organizes and reviews incoming invoices and applications for payment, ensuring that the correct project/PO is being charged and amounts are appropriate.
  • Submits invoices to Project Manager for approval.
  • Submits approved invoices to Accounts Payable.
  • Works collaboratively with Project Manager, Accounts Payable and contractor/vendor to resolve payment and invoicing issues.
  • Departmental operations, standardization and system support.
  • Participates in developing and implementing standard contracts, policies, procedures and practices.
  • Participates in system-wide initiatives.
  • Maintains professional relationships with internal and external project delivery partners.
  • Other duties as assigned.

Requirements

  • Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description
  • Valid Driver’s License required upon hire - MN and WI residents must obtain a valid driver’s license in their state of residence within 60 days of employment

Nice-to-haves

  • High school diploma or GED
  • Associate's or Vocational degree in Construction Management
  • Bachelor's degree in Construction Management
  • 0 to 2 years of construction project management or related experience
