About NJCIC
The New Jersey Consortium for Immigrant Children (NJCIC) works with New Jersey’s young immigrants and their allies to advance their full, fearless participation in our society. NJCIC seeks lawful status for immigrant youth and engages in policy advocacy for system-wide change in the areas of education, access to justice, and health equity. NJCIC’s Legal Program provides direct immigration legal services to youth under 21 in removal defense and applications for asylum, Special Immigrant Juvenile Status (SIJS) and other benefits, and serves as the intake and referral hub for unaccompanied children and similarly-situated youth seeking help from a state-funded program providing free immigration legal representation. We empower immigrant youth and families by conducting Know Your Rights sessions and developing youth-oriented educational materials and improve representation and advocacy on behalf of all of NJ’s immigrant youth by convening our Consortium members for trainings and bimonthly provider meetings.
Job Responsibilities
NJCIC is seeking a highly motivated, detail-oriented, and execution-focused Manager of Finance & Administration to support and own core components of the organization’s financial management, HR administration, and day-to-day operations.
This position will report to the Director of Finance & Administration and will play a critical role in ensuring the organization operates efficiently as it continues to grow. The ideal candidate is self-directed, detail
oriented, highly organized, and comfortable working across multiple functional areas in a fast-paced nonprofit environment.
The successful candidate will help strengthen NJCIC’s internal infrastructure by supporting budgeting and financial reporting, managing grant tracking, administering HR processes, and improving operational systems.
Duties and Responsibilities
Finance & Accounting:
- Support and maintain the organization’s annual budget, including preparation, tracking, and variance analysis
- Assist with monthly financial close and reporting, reconciliations, and coordination with external partners
- Support accounts payable and expense tracking processes, including invoice coding, vendor payments, and reconciliation
- Maintain accurate financial records and support strong internal controls and documentation practices
- Track program-level spending across legal, policy, development, and operations functions
- Maintain accurate financial records and support strong internal controls and documentation practices
- Support audit preparation, including preparing documents and reconciling schedules
- Assist with cash flow tracking and financial projections
Grants & Financial Reporting:
- Track restricted and unrestricted funding across all grants
- Maintain grant budgets and ensure alignment between spending, reporting, and compliance requirements
- Support preparation of financial reports for grant submissions and renewals
- Coordinate with program staff to ensure accurate and timely reporting
- Maintain schedules and documentation to support grant compliance requirements
- Help ensure responsible stewardship of grant funds and adherence to funder requirements
HR Operations:
- In conjunction with the Director of Finance & Administration, assist with payroll administration and serve as a point of contact for NJCIC’s PEO, CoAdvantage, with the potential to assume additional responsibility over time.
- Support employee onboarding and offboarding processes
- Maintain HR records and ensure compliance with policies and procedures
- Assist in developing and implementing HR policies and internal processes
Operations & Administration:
- Support day-to-day operations, including IT support
- Manage relationships with key service providers
- Support internal workflows related to expense tracking, reimbursements, and documentation
- Assist with process improvements
- Support internal coordination for board meetings and external grant reporting requirements
- Work closely with the Director of Finance & Administration on financial analysis and operational planning
- Partner with program and development staff to ensure alignment between budgets, grants, and program activity
- Support cross-functional initiatives as the organization continues to grow
- Execute other responsibilities as needed to support NJCIC’s operations

Desired Qualifications:
- Bachelor’s Degree in finance, accounting, economics or other related field required.
- 4-7 years of experience in finance, accounting, nonprofit operations, or related fields
- Strong Excel and financial analysis skills
- Experience with budgeting, financial tracking, reporting, or bookkeeping
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills

Preferred Qualifications:
- Experience with nonprofit accounting and grants management
- Experience with grant compliance requirements
- Familiarity with HR administration or PEO environments
- Experience supporting audits or financial reporting processes
This position will offer a competitive salary between $80,000 - $90,000, depending on experience, with excellent benefits including health insurance, generous leave and 401(k) match. NJCIC has a hybrid work model - staff work a minimum of two days a week (currently Tuesday and Thursday) in person and the remaining days remotely. On-site work is conducted at an amenity-filled co-working space in Jersey City. Additional occasional travel to other events on non-office days and work meetings is also required.
