Marketing & Proposal Coordinator

We’re looking for a Marketing & Proposal Coordinator who thrives in a fast-paced, deadline-driven environment and is energized by the pursuit process. This role is central to how we win work, partnering closely with technical teams and marketing staff to develop compelling, strategic responses to public-sector Requests for Proposals and Qualifications (RFPs/RFQs).
You’ll be part of a collaborative marketing team that values creativity, precision, and continuous improvement, and where your voice and ideas are welcomed.

What You'll Do

Lead Proposal Development (Core Focus)
  • Coordinate and manage the full proposal lifecycle from kick-off through submission and follow-up
  • Partner with Project Managers and technical teams to develop winning strategies, themes, and messaging
  • Lead kickoff meetings, manage schedules, and ensure deadlines are met across multiple concurrent pursuits
  • Prepare high-quality statements of qualifications, proposals, presentations, and interview materials
  • Leverage tools like our proprietary database system, BD Bloodhound, and applications like Canva, shred.AI, and Open Asset to improve efficiency and consistency
Research, Gather, Write, Edit, and Shape Content
  • Research project information and gather content
  • Develop and refine proposal narratives, resumes, and project descriptions tailored to each pursuit
  • Translate technical information into clear, compelling, and client-focused messaging
  • Maintain consistency in tone, quality, and brand across all deliverables
Design & Production
  • Format and produce proposals using Adobe InDesign
  • Collaborate with in-house graphics and marketing team to elevate visual storytelling and presentation quality
  • Ensure all materials align with Thomas & Hutton brand standards
Content & Database Management
  • Maintain and continuously improve proposal libraries, resumes, and project sheets
  • Manage and update content within Deltek VantagePoint, BD Bloodhound, Open Asset, and other tools
  • Leverage tools like shred.AI, BD Bloodhound, Open Asset, and others to improve efficiency and consistency
Continuous Improvement & Team Support
  • Support proposal debriefs and capture lessons learned to strengthen future pursuits
  • Assist with marketing and business development initiatives as needed
  • Contribute to internal template development and process enhancements

What You Bring

  • 2+ years of marketing or proposal coordination experience (AEC industry preferred)
  • Strong writing, editing, and proofreading skills with exceptional attention to detail
  • Proficiency in Microsoft Office and Adobe Creative Suite (InDesign required)
  • Ability to manage multiple deadlines and priorities in a fast-paced environment
  • A proactive, solutions-oriented mindset and strong organizational skills
Experience with Deltek VantagePoint, OpenAsset, or similar CRM/database tools is a plus

Monday – Thursday: 7:30 AM – 5:30 PM
Friday: 7:30 AM – 11:30 AM
(Additional hours as needed during active pursuits)
