Office Secretary

Position Summary

This position plays a critical role in maintaining the daily administrative, payroll, accounting, and compliance functions of the dairy operation. The ideal candidate is detail-oriented, highly organized, professional, and comfortable handling confidential information in a fast-paced agricultural environment.

This is a part-time, in-office position averaging approximately 16 hours per week.


Key Responsibilities

Administrative & Office Support

  • Organize, respond to, and manage office emails
  • Pick up, open, sort, and organize incoming mail
  • Maintain office filing systems and records
  • Organize office desktop files and improve office workflows
  • Maintain office supply inventory
  • Answer calls and respond to occasional work-related questions outside scheduled hours
  • Assist with scheduling and coordination of employee safety meetings


Accounts Payable & Financial Duties

  • Open, code, pay, file, and mail bills
  • Process regular weekly bills and monthly feed bills
  • Reconcile and prepare bank deposits
  • Reconcile bank statements
  • Print monthly checks and reports
  • Process inventory transfers and outside billing
  • Coordinate rent payments and loan interest payments
  • Create reconciliation spreadsheets for livestock tracking


Payroll & HR Administration

  • Review employee timecards
  • Process payroll and payroll tax entries
  • Maintain vacation and bonus tracking spreadsheets
  • Process and file payroll records
  • Prepare new hire paperwork and onboarding documentation
  • Maintain employee files and ensure onboarding compliance
  • Coordinate employee insurance deductions and renewals
  • Support workers’ compensation case follow-up as needed


Compliance & Reporting

  • Maintain OSHA postings and annual reporting requirements
  • Coordinate DE-9 filings and pension updates
  • Assist with workers’ compensation renewals
  • Ensure legal postings remain current and visible
  • Maintain DMV title documentation
  • Coordinate W-9 collection for vendors
  • Support annual state water reporting and farm split updates


Technology & Process Improvement

  • Help streamline office systems and improve organization
  • Implement and maintain office software and security systems
  • Explore efficiencies including mobile deposits and vendor bidding opportunities
  • Assist with maintaining AgStar accounting and payroll systems


Qualifications

Preferred Qualifications

  • Previous administrative, bookkeeping, payroll, or office management experience
  • Experience in agriculture, dairy, farming, or small business operations preferred
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to handle confidential information professionally
  • Strong communication and problem-solving skills
  • Proficiency in Microsoft Excel, Word, and office software
  • Ability to work independently and prioritize multiple responsibilities


Additional Requirements

  • Must be reliable and dependable
  • Must be comfortable working fully in-office
  • Valid driver’s license preferred
  • Bilingual English/Spanish is a plus but not required


Schedule

  • Approximately 16 hours per week
  • Flexible schedule split between 2–4 days weekly
  • Mondays are required due to payroll processing responsibilities


Compensation

  • $25.00–$33.00 per hour
  • Compensation based on experience and qualifications
