Job Summary
The Order Management Specialist is responsible for overseeing and coordinating the full lifecycle of repair and service orders within a fast-paced manufacturing environment. This role serves as a key point of contact between customers, production, repair operations, and quality teams to ensure repair orders are accurately entered, actively tracked, prioritized, and completed on schedule.
The ideal candidate is highly organized, detail-oriented, and experienced in managing high volumes of work orders in SAP or similar ERP systems while maintaining excellent communication with both internal teams and customers.
Key Responsibilities
  • Manage the complete lifecycle of customer repair and service orders from intake through final completion and shipment
  • Create, enter, update, and maintain repair work orders in SAP with a high level of accuracy
  • Review incoming repair requests, verifying serial numbers, part numbers, service requirements, and customer documentation
  • Actively track and monitor repair orders throughout production and repair processes to ensure timely turnaround
  • Serve as the primary coordinator between customers, production, quality, materials, and operations teams regarding order status and priorities
  • Provide customers with timely updates regarding repair progress, estimated completion dates, delays, and shipment status
  • Identify and resolve order discrepancies, workflow delays, and scheduling conflicts to minimize downtime and maintain delivery commitments
  • Prioritize urgent and high-impact repair orders while balancing daily operational demands
  • Maintain accurate order records, status updates, and documentation within SAP and internal systems
  • Generate reports and monitor repair order metrics, turnaround times, and backlog status as needed
  • Ensure compliance with company procedures, quality standards, and customer requirements
Qualifications
  • High school diploma or equivalent required
  • 2+ years of experience in order management, repair coordination, manufacturing support, or production scheduling
  • Experience managing high-volume work orders in SAP or similar ERP systems
  • Strong ability to track multiple repair orders simultaneously in a deadline-driven environment
  • Excellent organizational, follow-up, and problem-solving skills
  • Strong attention to detail and accuracy in data entry and documentation
  • Effective communication skills with both customers and internal departments
  • Proficient computer skills including ERP systems and Microsoft Office
Preferred Qualifications
  • Experience in manufacturing repair, electronics repair, or service operations environments
  • Familiarity with RMA processes, RTV process, and repair workflows
  • Understanding of production scheduling, inventory coordination, and manufacturing processes
  • Customer service or client support experience in an operations environment
