Responsibilities

  • Support client onboarding processes, including account opening, custodial paperwork, and coordination with Schwab to ensure a smooth and timely experience
  • Handle ongoing account maintenance requests, including transfers, distributions, beneficiary updates, and other service-related changes with accuracy and attention to detail
  • Coordinate and confirm client money movements promptly and securely while adhering to firm procedures and compliance standards
  • Serve as a key point of contact for clients, managing inbound and outbound communication with professionalism, warmth, responsiveness, and confidence
  • Communicate with clients clearly and thoughtfully in writing, including follow-up correspondence, meeting recaps, service updates, and requests for information
  • Prepare materials and documentation for client review meetings, including account summaries, financial data, and tracking of outstanding action items
  • Maintain accurate and organized client records within Wealthbox CRM, ensuring all interactions and updates are documented appropriately
  • Assist with compliance-related documentation, operational workflows, and internal administrative processes to support the broader advisory team
  • Collaborate closely with advisors and team members to help deliver a high-touch, white-glove client experience across all stages of the relationship

Requirements

  • Four or more years of client service experience in wealth management or financial services is preferred.
  • Strong grasp of account types and structures (individual, joint, IRA, trust, and similar)
  • Experience with account opening, onboarding, and KYC processes
  • Understanding of risk tolerance frameworks and money movement workflows
  • Confident, professional phone communication with clients
  • Polished written communication: the ability to draft a client email or meeting recap that is clear, warm, and accurate on the first pass
  • Organized, proactive, and client-first mindset
  • Takes ownership, communicates without being prompted, and takes pride in getting the details right.

Nice-to-haves

  • Custodial platform experience (Schwab, Fidelity, or equivalent) is a plus, not a requirement.
  • Wirehouse and broker-dealer backgrounds translate well.
  • A Series 65 or 66 is a plus but not required.
