We envision a world where immigrants live with dignity, power, and freedom.</p>Position Summary<p>The Program Assistant provides essential support to AIRR’s organizing and community programs. This position combines administrative coordination, community engagement, and event logistics to ensure programs run smoothly and participants stay engaged. The Program Assistant is ideal for someone who is organized, tech-savvy, community-oriented, and deeply committed to immigrant justice.</p>Key ResponsibilitiesAdministrative & Intake Support<ul><li>Answer and log community phone calls, voicemails, emails, and social media inquiries.<br /> </li><li>Call back community members regarding emergency fund requests and ensure all inquiries are documented and routed appropriately.<br /> </li><li>Maintain calendars, scheduling, and shared intake logs to streamline workflow.<br /> </li><li>Assist with intake form documentation for accompaniment and resource requests.<br /> </li></ul>Program & Event Coordination<ul><li>Coordinate logistics for events, trainings, and community meetings, including:<br /> <ul><li>Venue reservations, volunteer coordination, materials prep, and food arrangements.<br /> </li><li>Day-of support such as check-in, participant assistance, and translation/interpretation (if bilingual).<br /> </li></ul></li><li>Support documentation of attendance, engagement, and feedback for internal reporting.<br /> </li></ul>Participant Engagement & Follow-Up<ul><li>Implement a structured follow-up plan for participants in Know Your Rights and Immigration 101 trainings.<br /> </li><li>Encourage ongoing engagement by inviting participants to community organizing meetings and checking on resource needs.<br /> </li><li>Help distribute power packets and keep resource lists current for immigrant families (e.g., attorneys, food pantries, mental health services).<br /> </li></ul>Data Tracking & Digital Support<ul><li>Maintain basic data entry to track participation and community engagement.<br /> </li><li>Support digital communications such as reminder texts, email updates, and event posts.<br /> </li><li>Assist with organizing program data for reporting and evaluation purposes.<br /> </li></ul>First 3–6 Month Priorities<ol><li>Develop and implement a follow-up plan for training participants to strengthen engagement and create an organizing pipeline.<br /> </li><li>Compile and maintain a community resource list and support power packet distribution to immigrant families.<br /> </li><li>Coordinate and execute event logistics for trainings and community clinics with minimal supervision.<br /> </li><li>Streamline phone and intake support, including calling back emergency fund requests, ensuring timely documentation and follow-up of all community inquiries.</li></ol>QualificationsRequired<ul><li>Bilingual in English and Spanish (fluent, conversational/colloquial preferred).<br /> </li><li>3–5 years of experience in community-facing, nonprofit, or administrative support roles.<br /> </li><li>Strong organizational and time management skills with the ability to manage multiple priorities.<br /> </li><li>Effective and compassionate communicator with experience supporting diverse immigrant communities.<br /> </li><li>Tech proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and basic data entry.<br /> </li><li>Flexible, adaptable, and self-directed work style in a small, collaborative team environment.<br /> </li></ul>Preferred<ul><li>Experience with community organizing, immigrant advocacy, or direct service with undocumented/asylum-seeking families.<br /> </li><li>Familiarity with or willingness to learn digital tools such as CRMs, mass texting, or basic email campaigns.<br /> </li><li>Additional language fluency (e.g., K’iche’, Mam, Portuguese) is a plus.<br /> </li><li>Comfortable providing compassionate and culturally humble support to community members.<br /> </li></ul>Work Environment<ul><li>Hybrid: with in-person participation for events, trainings, and community meetings.<br /> </li><li>Typical expected schedule: 3 days in-office, flexible remote days.<br /> </li><li>Occasional evening or weekend hours required for events and trainings.</li></ul>Benefits<ul><li>Starting at $19.25/hour (approximately $40,000 annually), with potential for a higher rate commensurate with experience.<br /> </li><li>Medical stipend and paid time off (PTO).<br /> </li><li>Flexible hybrid schedule in a collaborative, mission-driven environment.<br /> </li></ul>Growth Opportunities<p>This role provides opportunities to expand skills in program coordination, community engagement, and digital organizing as AIRR grows its team and programming.</p><p>Powered by JazzHR</p><p>t4H2ngCjR8</p></div></div>
