Ward Clerk - Health Records
NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.
The Role
You will support effective clinical care by providing an efficient Health Records service to patients in a ward environment. To ensure patients’ health records are administered and processed accurately and remain confidential.
While providing cover in multiple wards as and when required, you will be expected to undertake all duties such as reception of patients, answering the telephone, appointment booking and maintaining demographic information on the patient management system.
Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.
Duration, Location, and Working Pattern:
We have two posts available
- 34 hours Wednesday- Friday 0730-1915
- 18 hours - Monday 0800-1600, Tuesday 0800 -1545 & Wednesday 0800 -1145
- These posts will be based within Queen Elizabeth University Hospital (QEUH)
In this role, you will act as the first point of contact for patients, relatives, and visitors, welcoming them via the ward entry system and directing them appropriately while ensuring all security, health and safety, and infection control procedures are followed.
You will manage incoming telephone calls, accurately taking and relaying messages for members of the multidisciplinary team, and provide information to relatives as directed by nursing staff. Maintaining a clean, tidy, and professional reception and waiting area—including equipment such as computers, telephones, and case note trolleys—will also be a key responsibility.
The position includes essential patient administration duties, such as admitting, discharging, and transferring patients using the TrakCare Patient Management System. You will also be responsible for pre-admitting patients and ensuring accuracy by cross-checking ward bed status information against system records.

Knowledge, training, qualifications and/or experience required to do the job:
- Knowledge required to undertake the role will be established through relevant in-house training relating to processes and procedures, TrakCare patient information system and stock ordering system, with the expectation of performing at a fully competent level within a specific time period (tbc).
- Previous clerical/reception experience.
- Previous experience of working with the general public in a customer service environment.
- Good organisational and communication skills.
- Keyboard skills.
